A voice agent is only as good as its instructions. The system prompt — the set of instructions that tells the AI how to behave, what to say, and how to handle different situations — is the single most important factor in campaign performance. After analyzing thousands of campaigns on CallTone, we have identified the patterns that separate top-performing agents from mediocre ones.
The First 10 Seconds Rule
You have about 10 seconds before a prospect decides to stay on the line or hang up. Top-performing scripts lead with value in those opening seconds. Here is what works:
Good opening:
"Hi [Name], this is Sarah from Midwest Insurance. I noticed you recently moved to the Columbus area — I am calling because we have been helping new residents save an average of $400 a year on their home and auto coverage. Do you have 60 seconds for me to explain how?"
Bad opening:
"Hi, this is Sarah. I am calling from Midwest Insurance. We provide home, auto, and life insurance products. I wanted to talk to you about your insurance needs. Do you have a few minutes?"
The difference: the good opening is personalized, leads with a specific benefit ($400 savings), establishes relevance (new to the area), and asks for a small commitment (60 seconds, not "a few minutes").
Handle the Top 5 Objections
Every industry has a predictable set of objections. Before launching a campaign, identify the 5 most common objections and include clear handling instructions in your system prompt. Here are universal objections and effective responses:
"I'm not interested"
This is a reflex, not an objection. The best response acknowledges it and pivots to value: "Totally understand — most people I call aren't expecting to hear from us. The reason for my call is [specific benefit]. If that's not relevant to you, I'll respect your time. But can I ask — are you currently [relevant situation]?"
"I already have a provider"
Great — that means they are in the market. "That's perfect, having coverage is the important thing. Most of our clients came to us from another provider when they realized they could get [better coverage / lower rates / better service]. When did you last compare options?"
"Send me an email instead"
Often a polite dismissal. Try: "I'd be happy to send you information. To make sure I send the right details, can I ask one quick question — [qualifying question]?" This keeps them engaged while still respecting the request.
"This is not a good time"
Always respect timing: "No problem at all. Would [Tuesday morning] or [Thursday afternoon] work better for a quick 5-minute call?" Offering specific alternatives converts timing objections into scheduled callbacks.
"How much does it cost?"
If you discuss pricing on the call: give a range, not a specific number, and always anchor it to value. "It depends on your specific situation, but most of our clients pay between $X and $Y per month and save [benefit]. The best way to get an exact number is [next step]."
Structure the Conversation Flow
Top-performing system prompts follow a clear structure. Include this flow in your agent's instructions:
- Opening: Introduce yourself, state the reason for calling, and lead with a benefit.
- Qualify: Ask 1-2 questions to confirm the prospect is a fit. This also builds investment in the conversation.
- Value proposition: Based on their answers, explain how you can help them specifically.
- Handle objections: Address concerns naturally using the predefined responses.
- Call to action: Always end with a clear next step — book a meeting, schedule a callback or send specific information.
Knowledge Base Is Your Competitive Edge
The agents that outperform are the ones with comprehensive knowledge bases. Upload everything your best human sales rep knows:
- Product and service details with pricing ranges
- Frequently asked questions and answers
- Competitor comparison points
- Customer testimonials and case studies
- Company policies (hours, locations, guarantees)
- Common objections with approved responses
When a prospect asks an unexpected question, an agent with a rich knowledge base gives an informed answer. An agent without one gives a generic response — and the prospect knows the difference.
Iterate Based on Data
Your first script will not be your best script. The key is to launch, analyze and iterate:
- Review call transcripts daily for the first week. Look for moments where the agent stumbles, gives inaccurate information or loses the prospect's interest.
- Check sentiment analysis to identify which parts of the conversation generate positive versus negative responses.
- Monitor objection patterns and add handling instructions for any new objections that appear.
- A/B test different openings by creating two agents with different first messages and comparing booking rates.
- Update the knowledge base whenever you encounter a question the agent could not answer well.
Quick Reference: System Prompt Template
Here is a template structure you can adapt for any outbound campaign:
## Identity You are [Agent Name], calling from [Company]. ## Goal Your goal is to [specific outcome — book a meeting, qualify a lead, schedule a demo]. ## Opening Lead with: [specific benefit or reason for calling]. Ask: [qualifying question]. ## Qualifying Questions 1. [Question about their current situation] 2. [Question about their pain points or goals] ## Value Proposition Based on their answers, explain how [Company] helps by: - [Benefit 1] - [Benefit 2] - [Benefit 3] ## Objection Handling - "Not interested": [Response] - "Already have a provider": [Response] - "Send me an email": [Response] - "Bad timing": [Response] - "How much?": [Response] ## Call to Action Always aim to book a meeting. Offer specific times. If they decline, offer to send information and schedule a follow-up call. ## Rules - Keep responses concise — this is a phone call - Never be pushy — respect a clear "no" - Be honest if you do not know something - Always be professional and friendly
The businesses that treat their system prompt as a living document — continuously refining based on real call data — are the ones that see conversion rates climb from 5% to 15% to 25% and beyond.
